4. Legal bases (UK GDPR)
| Purpose | Legal basis |
|---|---|
| Responding to enquiries, running the assessment, arranging calls | Steps taken at your request prior to entering a contract, and our legitimate interests in operating our business |
| CRM records and business follow-up | Legitimate interests (running and developing a B2B business), balanced against your rights |
| Site security, abuse prevention, fault diagnosis | Legitimate interests (protecting our service) |
| Analytics cookies, advertising cookies and pixels, session recording | Consent |
| Meeting legal, tax and record-keeping obligations | Legal obligation |
You can withdraw consent at any time using “Cookie choices” in the site footer.
5. Cookies, analytics and advertising
Strictly necessary cookies (including the record of your consent choice) are always used; they do not track you across sites. Nothing else runs until you allow it.
- Before analytics consent: Google Analytics and PostHog are not loaded, no events are sent to them, and no analytics persistence or session replay is used.
- Before marketing consent: the Meta Pixel and Google Ads tags are not loaded, no Meta PageView, Lead or custom events are sent, and campaign attribution is not stored in cookies or session storage.
- If you withdraw consent: we stop the relevant future collection, signal opt-out/revocation to the providers where they support it, and clear the attribution values we had stored.
Submitting a contact or assessment form and booking a call work normally whether or not you accept analytics or marketing cookies.
6. Who we share data with
- Close — CRM for enquiry and prospect records.
- Calendly — scheduling discovery calls.
- PostHog — product analytics and, with consent, session replay.
- Google Analytics (and Google Ads where marketing consent is given) — measurement and advertising measurement.
- Meta — advertising delivery and measurement, where marketing consent is given.
We also use hosting, email and IT suppliers, and we may disclose data where required by law or to establish or defend legal claims. The legal classification of some ad-tech activities as a “sale” or “sharing” of personal data has not yet been determined, and this notice does not assert any position on it.
7. International processing
Anaxia is established in the United States and our suppliers may process data in the United States and other countries. Processing of your personal data may therefore take place outside the UK or EU. No provider transfer contract or certification has been verified at the date of this notice. Where a restricted transfer applies, Anaxia must use a lawful transfer mechanism before the transfer occurs. You can ask us for details of the mechanism used for a particular transfer.
8. How long we keep it
- First-touch campaign attribution (UTM values,
fbclid,gclid, referrer): kept in memory only until you give marketing consent, and for up to 30 days after consent, then removed. - Consent records: kept as evidence of your choice for up to 12 months from the choice, or until you change it.
- Enquiry, assessment, CRM and client records: retained only for as long as needed for the purpose they were collected for, balanced against your rights, and no longer than is necessary. We do not set a fixed deletion period for these records and review retention as the relationship and any legal obligations change.
- Records needed for tax, accounting or legal defence: kept for the period required by the applicable law, and deleted when that obligation no longer applies.
- Analytics and advertising data: retained by the relevant provider according to that provider's own settings; you can ask the provider or us about its retention, and we remove what we control when you withdraw consent.
9. Your rights
If UK (or EU) data protection law applies to you, you have the right to access your personal data, to have it corrected or erased, to restrict or object to processing (including objecting to processing based on legitimate interests and to direct marketing at any time), to data portability, and to withdraw consent without affecting prior processing.
If a US state privacy law applies to you (for example in California, Colorado, Connecticut, Virginia or Utah), you may have the right to know about, access, correct, delete or obtain a copy of your personal data, to opt out of targeted advertising or any sale/sharing of personal data, and not to be discriminated against for exercising those rights. You may use an authorised agent where the law allows.
To exercise any right, email info@anaxiaglobal.net. We may need to verify your identity, and we respond within the time limits set by applicable law.
If you are in the UK and unhappy with how we handle your data, you can complain to the Information Commissioner's Office at https://ico.org.uk/make-a-complaint/. We would appreciate the chance to address your concern first.
10. Data deletion requests
To request deletion of your personal data — including any records created through our website, assessment, CRM or advertising activity — email info@anaxiaglobal.net from the address you gave us, with the subject line “Data deletion request” and enough detail for us to find your record (name, company, and the email address used).
We acknowledge requests promptly. Verified requests are handled within the timeframes set by applicable law, subject to lawful exceptions (for example records we must keep for tax or legal purposes, or a suppression list that prevents us from contacting you again). We tell you what was deleted and what, if anything, we must retain and why, and we contact the relevant providers where appropriate to remove the data they hold.
11. Anaxia Meta Marketing API application
Anaxia operates a private application that uses the Meta Marketing API. It is used only by authorised Anaxia administrators, solely to manage and measure Anaxia's own advertising.
Through it, those administrators may access:
- Anaxia's ad account, connected Facebook Page and Instagram account details;
- campaign, ad set, ad, creative, video and image assets;
- audience configurations and Pixel configuration and events;
- status, delivery, spend and performance metrics.
The application is not a service offered to other advertisers, and it is not used for profiling unrelated individuals. Its guarded tools may retain operation IDs, validation plans and receipts of executed operations so that changes can be audited, security-reviewed and rolled back. These records are limited to operational metadata and are kept only as long as needed for that audit and rollback purpose.
12. Children
Our site and services are for business audiences and are not directed at children. We do not knowingly collect personal data from anyone under 16. If you believe a child has given us data, contact info@anaxiaglobal.net and we will delete it.
13. Do Not Track and browser signals
The site does not currently interpret “Do Not Track” or other browser preference signals automatically. To control analytics and advertising on this site, use “Cookie choices” in the footer to set or change your preferences at any time.
14. Changes to this notice
We may update this notice as our services, suppliers or legal obligations change. The effective date at the top shows the current version, and material changes will be made prominent on this page. Please review it from time to time.
